CPL is seeking am experienced Executive Secretary. Responsible for the administration and secretarial duties of the MD’s office. These duties are to be carried out in a confidential manner due to the nature of your post. You will be responsible for prioritising your work on a daily basis and carrying out your duties as per the urgency of same. You will be responsible for identifying any problems/concerns that may arise and notifying the relevant personnel. . ESSENTIAL DUTIES AND RESPONSIBILITIES: Dictaphone Typing- typing of all MD’s correspondence accurately and within the required time frame. Processing Correspondence – ensuring all relevant email, faxes and mail, incoming and outgoing are appropriately copied and filed and monitoring of same at all times. Follow-ups – Operate a follow up procedure to ensure MD’s incoming/outgoing correspondences are followed up and brought to the relevant personnel’s attention when necessary. Trip and Meeting Preparation – sending out all emails/faxes requesting MD’s meetings both external and internal. Ensuring all are followed up. Trip Reports – Compiling minutes of meetings from MD’s trips and distributing of same to be relevant personnel. Board Meetings – Compiling/ updating the board meeting agenda and MD’s issues for the monthly board meetings. Presentations- Assist MD in drafting / editing both internal and external presentations. Phone Messages – taking and documenting of phone calls on behalf of MD as required. Filing – Responsible for the filing generated in the MD’s office and ensuring it is filled accurately and in a timely fashion. Holiday/Absent Cover – Holiday and Sick Leave cover for the PA. Reception Duties – Assist in providing cover for reception as required. Training – Partake in training courses as required. Projects – from time to time you may be asked to assist in various projects and ad hoc duties and it will be a requirement that you do. PERSON SPECIFICATION: Proficiency in Microsoft Office, PowerPoint, Excel and MS Outlook. Excellent typing skills min of 60 words per minute. Possess strong verbal and written communication skills. Be detail oriented, results-oriented and ability to multi-task and work in a dynamic environment. Work well under pressure, excellent organisational abilities, set and meet deadlines, be able to handle several priorities in a day; be dependable, adaptable, creative and self-motivated. Demonstrate confidentiality and discretion in all matters related to support of Managing Director. Ability to handle and maintain the confidentiality of sensitive information.
